The Human Resources Administrative Assistant assists with the administration of the day-to-day operations of the human resources functions and duties. The HR Assistant carries out responsibilities in some or all of the following functional areas: executive administration and HRIS.
â�¢ Handles the day-to-day operation of the HR office
o Greets and directs employees, applicants, and visitors.
o Answers incoming phone lines.
o Provides information, directs calls, takes messages; assists caller in resolving problems when possible.
o Opens, distributes, and forwards mail. Obtains signatures as necessary.
o Requisitions office supplies, consistent with usage, and small equipment repairs and/or maintenance services. Ensures that adequate supplies are available for smooth office operations.
â�¢ Completes a variety of administrative duties, including:
o Maintains employee files , photocopying, filing, and obtaining records
o Handles requests for information on employees (ie reference requests, subpoenas)
o Maintains and coordinates appointments and calendar for VP HR
o Books rooms for meetings, training programs, orientation, etc
o Assists with set up of AV equipment at meetings
o Prepares correspondence, coordinates mailings as necessary
â�¢ Responsible for input and maintenance of employee data in human resources information system (HRIS) databases, including processing new hires, changes and terminations, employee licenses, evaluations, etc.
o Assists with Issuing employee photo I.D. badges
o Provides payroll information by collecting time and attendance records
o Submits employee data reports by assembling, preparing, and analyzing data
o Maintains employee confidence and protects operations by keeping human resource information confidential.
o Maintains performance management and improvement tracking systems
â�¢ Assist with internal ATS system (Taleo), onboarding & maintaining traveler files & paperwork.
â�¢ Assist with special projects and reports as needed.
â�¢ Other Duties as assigned
Onboarding Process: Please be advised that candidates must successfully complete a background check and pre-employment health screening which includes a drug screen.
Level of knowledge equivalent to that ordinarily acquired through completion of an Associateâ��s Degree in Business and prior experience working in a similar role.
Must be proficient in Microsoft Office products, including Excel, Word and PowerPoint.
Highly organized and attention to detail is a must.
Ability to multi-task and work in a fast-paced environment.
Excellent customer service and interpersonal skills are required.
