Assists the department and employees on Human Resource issues. Performs administrative and Human Resource related duties. Assists the HR team with departmental responsibilities.
DUTIES AND RESPONSIBILITIES:

Maintains professional and ethical conduct and demeanor. Models the core values of the hospital and displays a positive image of the Human Resources department.
Under the direction of the HR Director and HR Generalist is able to put together data from different sources for special projects; prepares reports.
Maintains procedures and controls to promote communication and adequate information flow.
Distributes and process new hire paperwork. Schedules meetings with new hires prior to employment to ensure completion of pre-employment processes.
Identify and interact with potential passive candidates via social media and professional networks
Post job openings; may review resumes, conduct prescreen interviews, and determine salary requirements of candidates
Draft and send recruiting emails to the desired candidates.
Collaborate with hiring managers and determine position prerequisites.
Coordinate candidate interviews and other related activities
Maintain databases with high accuracy and attention to detail
Demonstrates the ability to perform secretarial duties i.e., filing, scanning, typing, correspondence, preparing reports and memos, ordering of office supplies, processing invoices with Accounting, etc.
Reviews and edits materials; formats and types publications, reports, letters and general correspondence.
Maintains strict confidentiality of all Human Resources and payroll information and maintains confidentiality of other information related to the hospital and related parties.
Answers the telephone in a professional manner; directs calls appropriately.
Reads and distributes incoming mail appropriately.
Responds to all inquiries and escalates to HR Director and HR Generalist in an expedient manner.
Maintains department records, files, policy and procedure manual.
Ensures Human Resources policies and procedures are followed.
Communicates appropriately and clearly to all employees and co-workers.
Prepare identification badges for all employees and Physicians.
Compiles employee benefits and orientation packets, prepares catering requests, performs room setup, etc.
Maintains a good working relationship both within the department and with other departments.
Is a team player; Assists HR Director and HR Generalist with task oriented work on special projects with Human Resources staff.
A resource person both within the department and to administrative staff of other departments.
Demonstrates the ability to schedule meetings between departments and management.
Demonstrates the ability to be flexible and organized.
Manages and operates equipment safely and correctly.
Assists HR Generalist in ensuring completion and appropriate filing of all new employee paperwork and maintains HR files.
Performs other duties as assigned.
Reports to work on time and as scheduled, completes work within designated time.
Adheres to scheduling requests of the department.
Adheres to the Customer Service Standards of Baylor Scott & White Medical Center - Sunnyvale while representing the organization in a positive and professional manner.
Communicates the mission, ethics and goals of the facility, as well as the focus statement of the department and complies with all organizational policies regarding ethical business practices.
Utilizes computerized punch time system correctly.
Completes annual education requirements and maintains regulatory requirements.
Adheres to dress code, appearance is neat and clean and wears identification while on duty.
Completes in-services and returns in a timely fashion and has not missed any mandatory in-services.
Attends at least 8 staff meetings annually, is responsible for information presented at monthly staff meetings that he/she is unable to attend.
Actively participates in performance improvement and continuous quality improvement (CQI) activities.
High school diploma or equivalent; Associateâ��s or Bachelorâ��s Degree in a related field, preferred.
One-year clerical experience required, Human Resources experience preferred.
Hospital experience preferred.
Ability to effectively communicate in English; both verbally and in writing.
Additional languages preferred.
Strong presentation skills.
Preferred: SHRM-SCP, SPHR or CHHR, or equivalent HR certification
Excellent computer knowledge and skills in working with spreadsheets, publishing and graphics programs, and data entry.
Possess organizational, analytical and critical thinking skills.
Ability to use all office equipment.
